How to Create GL Account in SAP, using T code: FS00.
In this blog, we explained what a GL account is and how to create the GL account in SAP.
Meaning: A General Ledger (GL) account is a master record that captures and stores balances from transaction postings, enabling tracking and monitoring of financial activity. When creating a GL account, key things we should know to maintain:
- Account Type
- Account group
- Currency
- Reconciliation type
- Sort key
- Open item management
- Field status variant
- Post automatically only
Go to T code: SPRO
SAP Easy Access – SAP Menu -> Accounting -> Financial Accounting -> General Ledger -> Master Records -> G/L Accounts -> Individual processing -> Centrally – Double click on Centrally.

In this blog, we are creating the “Rent Expense GL Account”.
Click on Create icon.

Popup will come – Give G/L Account number (as per account group) and company code and click on continue.

Type/Description Tab: Enter the required data like – Account group, Account type, short/long text.

Control data Tab: Enter the required data like – Currency, Tax code, Reconciliation type, open item management, line item display, sort key.

Create/Bank/Interest Tab: Enter required data and click on save.

See the Rent GL account – 400000 created successfully.

Key points in GL Account
- Account type: It determines whether the balances captured by a GL account are stored in the P&L statement or the Balance Sheet.
- Balance sheet
- Non-operating incomes and expense (P&L)
- Primary costs or revenues (P&L)
- Secondary costs (P&L)
- Cash Account (B/S)
- GL Account group: It is a maximum of 4-digit alphanumeric key that categorizes similar GL accounts for easy management. The GL account groups will allow us to control GL Master data fields (like Surpass, Display, Optional and Required). - Currency in GL account: The currency in GL Account determines that although postings can be made in various currencies, balances are stored in the specified GL account currency.
- Reconciliation account: it is a GL account which takes data from sub-ledger automatically when the transactions posted into Business partner/vendor/customer/asset masters. To get this automatic posting, we need to assign this reconciliation GL account in the respective master records.
- Sort key: It is a 3 digit key, to populate the assignment number for line items
- Open item management: If this field is active in a GL account, it means the account captures the transactions that requires clearing from other GL accounts.
- Field status variant: It is used to control the fields while posting transactions by following options. Click here to learn more

- Required Entry
- Optional Entry
- Post automatically only: A GL account marked as “Post Automatically Only” is designed to receive postings only from other modules or systems, not from direct manual postings. This also prevents unintended manual entries and ensures consistency with other system postings.
