Business Partner(Vendor) Configuration in S4 Hana

In S4 Hana, Business Partner configuration is mandatory along with the vendor/customer account groups config.

Note: If we have a business partner configuration, we can use it for both vendor or customer provided number ranges should be maintained same.

  • Configuration:
    • Business Partner(Customer) Configuration in S4 Hana: Click here
  • Master Records:
    • Business Partner General data: Click here
    • Vendor Business Partner with Company code data: Click here
    • Vendor Business Partner with Purchasing Organization data: Click here

SPRO Path: Reference IMG -> Cross -Application Components -> SAP Business Partner -> Business Partner -> Basic Settings -> Number Ranges and Groupings -> Define Number Ranges – Click on Execute.

Click on Change/Edit Intervals button.

Firstly we need to know numbers availability with this Free interval icon.

Click on Add Entries.

Now give the details like below (But here we maintain internal no. range).

SPRO Path: Reference IMG -> Cross -Application Components -> SAP Business Partner -> Business Partner -> Basic Settings -> Number Ranges and Groupings -> Define Groupings and Assign Number Ranges – Click on Execute.

Click on New Entries button.

Here we need to create a Business partner group and with assign number range.

Customizing request popup will come, select your request and click on continue.

SPRO Path: Reference IMG -> Financial Accounting -> Accounts Receivable and Accounts Payable -> Supplier Accounts -> Master Data -> Preparations for creating supplier master data -> Define Accounts Groups with screen layout (Vendors) – Click on Execute.

After that, Click on New Entries.

Now give Account group name and Description.

Select “General data” and double click on “Expand field status” to check subgroup list.

Every field of vendor master record will be controlled like below.

For instance, Under field status – General Data, Company Code Data, Purchasing Data we have

  • Suppress: It means, specific field will not be displayed.
  • Required Entry: It means, specific field is mandatory.
  • Optional Entry: Field is optional.
  • Display: It means field will be just displayed. (cannot be edited).

Once the configuration done click on save button.

Customizing request popup will come, select your request and click on continue.

SPRO Path: Reference IMG -> Financial Accounting -> Accounts Receivable and Accounts Payable -> Supplier Accounts -> Master Data -> Preparations for creating supplier master data -> Create Number Ranges for Vendor Accounts – Click on Execute.

Click on Change/Edit Intervals.

If we click on this icon, so that it will show numbers available.

Now click on Add entries.

Enter the details like below.

Why we select “External” check mark, because to pick the vendor master number from the business partner number. (Know more about External Number Range)

SPRO Path: Reference IMG -> Financial Accounting -> Accounts Receivable and Accounts Payable -> Supplier Accounts -> Master Data -> Preparations for creating supplier master data -> Assign Number Ranges to Vendor Account Groups – Click on Execute.

Click on Position button.

Popup will come, Give Account group and click on continue.

Now give number range.

Customizing request popup will come, select your request and click on continue.

In short, Done with Vendor Account group.

SPRO Path: Reference IMG -> Cross -Application Components -> Master Data Synchronization -> Customer/Vendor Integration -> Business Partner settings -> Settings for Vendor Integration -> Field Assignment for Vendor Integration -> Assign Keys -> Define Number Assignment for Direction BP to Vendor – Click on Execute.

Click on New Entries button.

Now we are assigning/linking Business partner group and Vendor account group. In addition, to make same numbers for vendor and business partner then “Same Nos.” option need to give tick mark.
